How can AI automate work in a business?

How to choose a first AI pilot: authorised sources, human review, exceptions and evaluation before integration with operations.

Choose a task rather than a broad promise

An AI automation project starts more clearly with a repeated task than with a broad ambition to introduce artificial intelligence. Examples include classifying enquiries, searching approved documents or preparing a summary for review. Choose an activity with available examples and an output someone in the business can evaluate.

Before choosing a model, describe the existing process: who receives information, what decision they make, where they verify it and where the result goes. Sometimes a simple rule or conventional integration solves the problem. AI is worth assessing where language interpretation or variable inputs justify a pilot.

An illustrative enquiry-to-draft workflow

Consider a business receiving service questions. A pilot could classify the enquiry, suggest relevant documentation and prepare a draft for an employee. The employee checks the sources and decides what to send. This is an illustrative workflow, not a measured AURENIQ client result.

Test cases should include an ambiguous enquiry, a missing document and contradictory information. If a source does not support an answer, the system needs a path to clarification or human review. Fluent wording alone is not an adequate correctness criterion.

Sources, access and acceptable information

Inventory the documents that may be used and who is allowed to read them. An internal assistant should not widen an employee’s access to another department merely because they can phrase a question. Separate test environments from those containing real information.

Decide what may reach an external provider, where processing occurs and what is retained. Remove secrets and unnecessary data from pilot examples. Review vendor terms and actual configuration before connecting a service; a technology name does not establish compliance for the entire workflow.

Evaluate before automating actions

Prepare representative examples and written criteria: correct classification, an appropriate source, acknowledgement of incomplete information and correct escalation. Separate examples used for adjustment from those used for final evaluation. Do not promise a success rate before measuring it.

Compare the assisted process with the current workflow, including review and correction time. Track usage cost, latency and cases needing another attempt. The business criterion is usefulness to staff and customers, not simply the number of generated answers.

Integration and responsibility after the pilot

Initially keep sending messages, changing prices and commercial operations behind human confirmation. For each integration, define permissions, limits, error handling and a stop procedure. Do not grant broad access merely to simplify implementation.

After accepting a pilot, decide who maintains the sources, reviews failures and repeats evaluation. Documents, models and workflows can change. A useful automation has an owner and a route back to manual work, beyond a demonstration that works once.

Common questions

Must AI answer customers autonomously?

No. A pilot can prepare a draft for a person to review and send. Autonomy is a separate decision.

Can company documents be used?

If access and processing are authorised and the sources are suitable. Permissions, the provider and included data need assessment.

How do we choose the first process?

Choose a repeated task with examples and a verifiable outcome. Include exceptions before estimating benefits.
